PPS Scribe uses AI to record your treatment session and turn your conversations, observations and advice into formatted notes.
PPS Scribe is a standalone system, separate from your PPS Express or PPS system but linked to allow your Appointments to sync and to allow you to save your AI-generated notes to your PPS database under the client consultation.
For more information on PPS Scribe AI please contact our Sales Team.
Section 1: Logging into PPS Scribe
PPS Scribe is connected to your PPS database so you can log in using your own login details.
When you first log in, you will be able to select your audio device. This will tell the system which microphone to use. This could be the microphone from your laptop or mobile device or a connected device like an external microphone.
You can then select the appointment to start the session.
All your appointments for the day will show here and you can select the current appointment.
Section 2: Transcribing
You will be required to gain informed consent from your client to ensure that they are aware of the recording.
Tick the box to confirm their consent has been gained and then you can start recording.
Once your appointment is selected and you have gained the client's consent, you can start recording.
As you begin to chat with your client, PPS Scribe will generate a transcript of your conversation.
You will be able to see the total duration of the recording and you will be allowed the length of time of the appointment plus 10 minutes for any extra notes to be added.
You can pause or discard the transcription at any point during the recording.
Section 3: Notes Generation
Once your consultation is complete, use the Notes Generation to format the notes output.
Select the format you'd like to use and select the discipline that applies:
Click Generate Notes to let PPS Scribe turn your transcript into formatted treatment notes.
Once your notes are generated, they will appear below for you to review.
Use this button to expand your notes into a larger window to make them easier to review and edit.
Use the Edit Options to go back to make any corrections or add information.
Use the Corrections box to correct any errors in the original transcript or use the Additional Information box to add any information or context that you think would be helpful.
You can then generate your notes again and keep generating them until you are satisfied.
Once you have reviewed your notes, you can save them to PPS. This will add a consultation record to PPS where you can review them at any time.
Before saving the notes to PPS, you will be reminded that the output requires thorough review before being signed off.
Tick the box to confirm that they are accurate and they can be added to the client's consultation.
Once those notes are saved, you can easily move onto your next appointment.
